Customer-Supplied Garments Policy

Important Disclaimer for Garments Supplied by Customers

Please read this policy before providing your own garments for printing, embroidery or any other customisation by KmvT Design.

Important Information

Customer-supplied garments are accepted for customisation subject to the risks explained in this policy. This means KmvT Design cannot guarantee the same result as we can with garments supplied directly by us.

By supplying your own garments, you acknowledge that fabric type, garment quality, age, previous washing, coatings, seams, zips, pockets and construction can all affect the final print or embroidery result.

We recommend purchasing garments directly from KmvT Design, as we can select products suitable for the requested printing or embroidery method. However, customers may choose to supply their own garments, subject to our acceptance of the work.

Garments Supplied at Customer’s Own Risk

When you provide your own garments, KmvT Design will take reasonable care during printing, embroidery or customisation.

However, customer-supplied garments are provided subject to inherent material and production risks. We cannot be responsible for replacing or refunding the garment itself where damage arises solely from its fabric, quality, construction, condition or suitability, provided we have exercised reasonable care and skill.

We do not automatically accept responsibility for the replacement value of customer-owned garments damaged by an unavoidable production incident that occurs despite reasonable care and skill.

Nothing in this policy excludes responsibility for damage caused by our failure to exercise reasonable care and skill or any liability that cannot lawfully be excluded.

Fabric and Garment Suitability

Not all garments are suitable for printing or embroidery. Some fabrics may react badly to heat, pressure, needles, backing materials, adhesives or production processes.

Problems may include heat marks, fabric shine, scorch marks, stretching, shrinkage, puckering, dye migration, colour bleeding, stitching distortion or poor print adhesion.

Heat Press and Print Risks

Some garments may be sensitive to heat or pressure used during print application. This can affect fabrics such as polyester, coated garments, waterproof garments, softshells, delicate materials or unknown fabric blends.

Some printing processes may require heat-press temperatures around 160°C, depending on the decoration method and materials being used.

KmvT Design is not responsible for heat damage, press marks, colour changes, coating damage, garment shrinkage or print failure caused solely by the fabric or garment being unsuitable for the selected print method, where reasonable care and skill have been exercised.

If we identify a particular heat-related risk, we may warn you, recommend an alternative or refuse to proceed.

Embroidery Risks

Embroidery places stitches directly through the garment fabric. Some garments may not support embroidery well because of thin material, stretch fabric, waterproof layers, padding, seams, linings or poor garment construction.

Possible embroidery issues may include puckering, needle marks, small holes, fabric distortion, thread tension marks or reduced detail. These risks may be higher on garments not supplied or tested by KmvT Design.

Embroidery machines operate mechanically. Occasionally, threads or fabric may catch in the machine, needles may break, or material may be pulled or damaged even when appropriate stabilisation, hooping, machine settings and reasonable precautions have been used.

Where an incident occurs despite our exercising reasonable care and skill, it does not automatically make KmvT Design responsible for the cost or replacement value of the customer-supplied garment.

Seams, Pockets, Zips and Panels

Garment construction can affect where a logo or design can be placed. Seams, pockets, zips, buttons, linings, panels and uneven surfaces may limit print or embroidery positions.

If a requested position is not suitable, we may recommend an alternative position. Final placement may vary slightly depending on the garment’s construction and available decoration area.

Used or Washed Garments

Garments that have been worn, washed, stretched, dried, treated, coated or exposed to chemicals may not produce a reliable print or embroidery result.

We strongly recommend supplying clean, new garments where possible. Any marks, wear, shrinkage, fabric weakness or previous treatment may affect the finished result.

Customer Responsibility

The customer is responsible for checking that supplied garments are suitable for the requested customisation method and for providing accurate information about their fabric and condition.

The customer is also responsible for checking garment sizes, colours, quantities, condition, fabric labels and any care instructions before the garments are supplied to KmvT Design.

Please inform us of any known fabric treatments, coatings, existing damage or previous washing that may affect the decoration process.

No Guarantee on Customer-Supplied Garments

Because KmvT Design has not sourced or tested customer-supplied garments, we cannot guarantee the final result, durability, wash performance or suitability of decoration where these are affected by the garment’s own characteristics.

We will aim to produce the best result reasonably possible and will exercise reasonable care and skill in carrying out the work.

Customer-supplied garments may therefore carry different inherent risks from garments supplied directly by KmvT Design, without affecting any statutory rights.

Damage, Failed Decoration or Unsuitable Garments

If a customer-supplied garment is damaged, reacts badly, fails during customisation or produces a poor result solely because of the garment’s characteristics, condition or an unavoidable production incident, KmvT Design will not normally be responsible for replacing the garment where reasonable care and skill have been exercised.

This includes circumstances where printing does not adhere or remain durable because of unsuitable material, or where heat or embroidery causes damage due to inherent material characteristics or unavoidable mechanical incidents.

Where we are not legally responsible for the damage, we may choose to refund the printing or embroidery charge as a gesture of goodwill without accepting liability for the garment itself.

If damage results from our failure to exercise reasonable care and skill, we will assess our responsibility and provide any remedy required by applicable law. Any liability will depend on the circumstances and cannot automatically be limited to the decoration charge.

Charges for work, materials, artwork preparation or logo setup will be assessed according to the work agreed and carried out, together with applicable statutory rights.

Testing and Advice

If you are unsure whether your garment is suitable, please contact us before placing an order. We can give general advice based on the garment type and customisation method.

Advice is given in good faith, but it cannot fully remove the risks linked to customer-supplied garments, especially when the fabric, coating, construction or garment history is unknown.

Agreement Before Work Starts

By asking KmvT Design to customise garments supplied by you, you acknowledge the inherent printing and embroidery risks explained in this policy.

Where we identify a particular concern, such as unsuitable fabric, heat sensitivity, fragile construction or a higher risk of embroidery damage, we may explain the specific risk and request your written acknowledgement before accepting or proceeding with the work.

If you decide to proceed after receiving a clear explanation of the identified risks, your informed agreement may be taken into account when assessing any subsequent issue.

We reserve the right to refuse garments that we consider unsuitable or excessively high-risk, even where a customer wishes to proceed.

Your agreement does not exclude our obligation to exercise reasonable care and skill or restrict statutory rights that cannot lawfully be excluded.
